In this screen you can setup the annual holiday schemes, which your company implements. Our service provides you with some pre-defined holiday schemes, which you can edit. Further you can customise your own holiday schemes based on your company policy.

Fields Available
- Annual Holiday Year Start Date: Our service allows you to record and monitor the amount of holiday leave taken by each of your employees throughout the year. In order to do this, you must enter in a start date for the holiday year. Any holiday taken will be counted and accumulated for the year from this date. For example, if you have entered the holiday year start date as 1 January 2013, then your holiday calculation will be based on the Holiday year starting from 01/01/2013 to 31/12/2013. To change the holiday year start date, click on the Edit button.
Holiday Scheme Setup
- Option 1: Accrue Holiday Hourly - holiday entitlement accrues relative to the number of hours the employee works.
In this type of Holiday Scheme the employee's holiday accrues according to the actual number of hours the employee has worked. Therefore, when processing the payroll of employees assigned to this scheme you should always enter the actual number of hours they worked i.e., use the Timed Basic Approach for processing the payroll.
- Holiday Scheme Name: Enter here a name to identify your holiday scheme.
- Use System Generated Base Unit: Our system can automatically generate the common denominator base unit for you. This is the multiplier used to calculate the employee's accrued holiday entitlement according to the number of hours he or she works. In other words it is the amount of holiday the employee accrues for each hour that he or she works.
- The Common Denominator Base Unit is calculated as follows:-
Select "Yes" from the drop down list for the system to calculate the value.
Annual working days X hours worked per day = total hours worked per annum.
Annual holiday entitlement / total hours worked per annum = Common Denominator Base Unit.
Please Note : Select "No", to manually edit the system generated base unit value. You can then enter the custom base unit in the fields "Accrual by hours" and "Accrual by days".
- Annual Entitlement (In Days): Enter here the total number of holiday days your employee is entitled to take each year.
- Annual Working Days: Enter here the total number of days your employee will work for that tax year. For example, for employees working a 5 day week this would be 52 weeks X 5 days = 260 annual working days
- Official Full Time Employee Working Hours (Per Day): Enter here the official total number of hours your employee will work per day. For example, for employees working from 9am-5pm this would be 8 hours.
- Common Denominator Base Unit: Under the system generated option the generated Common Denominator Base Unit of the employee will be displayed here automatically. If "No" was selected earlier then you should enter here your own Base Unit figure for your employee.
- Carry Forward Annually: Select "Yes" to carry forward your employee's unused holidays from one year to the next year, if "No" is selected then the employee's unused holidays will not be carried forward from one year to the next year.
- Show Holiday Record on Payslip: From the drop down list, select "Yes" to show the holiday record of your employees on their payslips. Select "No" for the holiday records not to be shown on the payslips.
- Note:- Part time workers Government guidance states that part time workers should receive holiday entitlement pro rata to comparable full-timers. Therefore, when entering the details for part time employees under this option, we advise you to enter them as if they are full time workers. Their holiday entitlement will then be worked out on a pro rata basis according to the actual number of hours they work.
- Action: The various tasks associated with the data in each row will be displayed here. For example Save, Edit, Delete, etc.
- Option 2: Pay Holiday Each Period - pay and clear the accrued holiday each pay period.
In this type of Holiday Scheme the employee's holiday is accrued on a daily basis. The employee's accrued holiday for the pay period is paid and cleared (encashed) in that pay period itself and will not be carried forward to the next pay period.
- Holiday Scheme Name: Enter here a name to identify your holiday scheme.
- Use System Generated Base Unit: Our system can automatically generate the common denominator base unit for you. - Option 3: Accrue Holiday Regardless - annual holiday entitlement accrues regardless of the number of days the employee actually works.
In this type of Holiday Scheme holiday is accrued by the employee on a daily or monthly basis for each pay period while processing the pay. The employee is entitled to the holiday irrespective of the number of days he/she actually worked.

- Accrual Basis: If your employee's holiday entitlement accrues on a monthly basis then select 'monthly', if it accrues daily then select 'daily' from the drop down list.
- Carry Forward Annually: Select "Yes" to carry forward your employee's unused holidays from one year to the next year, if "No" is selected then the employee's unused holidays will not be carried forward from one year to the next year.
- Show Holiday Record on Payslip: From the drop down list, select "Yes" to show the holiday record of your employees on their payslips. Select "No" for the holiday records not to be shown on the payslips.
- Action: The various tasks associated with the data in each row will be displayed here. For example Save, Edit, Delete, etc.
- Option 4: Self Defined Holiday Entitlement - define your own annual holiday entitlements which will be reduced as and when holiday is taken.
In this type of Holiday Scheme the holiday entitlement is provided to the employee annually and can be taken at any time. i.e. the total holiday entitlement will be reduced if and when the employee takes holiday.
- Holiday Scheme Name: Enter here a name to identify your holiday scheme.
- Annual Entitlement (In Days): Enter here the total number of holiday days your employee is entitled to each year.
- Carry Forward Annually: Select "Yes" to carry forward your employee's unused holidays from one year to the next year, if "No" is selected then the employee's unused holidays will not be carried forward from one year to the next year.
- Show Holiday Record on Payslip: From the drop down list, select "Yes" to show the holiday record of your employees on their payslips. Select "No" for the holiday records not to be shown on the payslips.
